Hamilton AI is creating the operating system for business aviation. Unlike commercial aviation, business aviation lives in the dark ages, think emails, phone and spreadsheets that run most of the operations of operators from 2 aircraft to 1,000 aircraft.

Hamilton is here to change that. We offer a fully vertically integrated platform that runs business operations at our customers. Our AI agents are the first point of contact for quote requests and we run these quote requests from A to Z. Think quoting, flight scheduling and optimization, route planning, aircraft tracking, payment processing, and back-office invoicing and payroll.

Hamilton AI is founded by Wouter Witvoet, who previously founded Secfi.com ($1.5bn AUM) and went on to take his second business public called DeFi Technologies, listed on the NASDAQ under DEFT with a market cap of $1.2bn. Role

  • We’re hiring an Operations Associate to work at the intersection of customer onboarding, internal operations, and strategic projects. This is a high-responsibility, generalist role designed for someone who enjoys solving ambiguous problems, working across teams, and translating complex business models into scalable processes.
  • You’ll work closely with Operations, Product, Sales, and Leadership, and you’ll be trusted to own critical workflows from day one.
  • This role is ideal for someone coming from a large, structured organization (e.g. private aviation operator or consulting) who wants hands-on startup exposure and the ability to move faster.

What You’ll Do

1. Customer Onboarding Management (≈50%) — Core Responsibility

  • Own onboarding for new aviation customers from contract signature to operational go-live
  • Deeply understand each operator’s business model, including:
  • Fleet structure and aircraft types
  • Revenue vs positioning flights
  • Empty leg logic and utilization strategies
  • Compliance and operational constraints
  • Translate these realities into rules, workflows, and configurations inside Hamilton
  • Design and continuously improve onboarding playbooks and processes
  • Act as a strategic partner to customers during implementation, not just a support resource
  • Partner closely with Product to surface gaps, edge cases, and industry-specific needs

This work requires consulting-level thinking combined with practical aviation judgment.

2. Strategic Project & Operations Support

  • Support major cross-functional initiatives (e.g. SOC 2 compliance, operational scaling, tooling decisions)
  • Help define project scope, success metrics, timelines, and ROI
  • Build and maintain tracking models (Excel / Google Sheets, formulas, lightweight forecasting)
  • Evaluate vendors, tools, and external partners when needed
  • Step in hands-on when direction is unclear and execution matters more than process

3. Executive & Stakeholder Communication

  • Create high-quality decks for:
  • Board meetings
  • Executive planning sessions
  • Sales agent or partner onboarding
  • Translate complex aviation and operational topics into clear, visual narratives
  • Ensure leadership has clarity on progress, risks, and trade-offs

4. Aviation Domain Ownership

  • Build and maintain deep understanding of:
  • Operator economics and trade-offs
  • Regulatory and compliance environments
  • Real-world operational constraints vs “theoretical” workflows
  • Continuously shared knowledge and educate the engineering team and become a go-to internal reference for “how operators actually work”
  • Help ensure Hamilton’s product and processes remain grounded in industry reality

What You Bring

  • 2–5 years experience in:
  • Private aviation operations or
  • Strategy / operations consulting with aviation exposure or
  • High-complexity operational roles in regulated industries
  • Strong analytical and numerical skills (comfortable with spreadsheets and models)
  • Ability to manage multiple workstreams simultaneously
  • Comfort with ambiguity and ownership
  • Strong written and visual communication skills
  • Willingness to be hands-on and execution-focused

Bonus points

  • Experience at operators like Flexjet, NetJets, Vista, Wheels Up, or similar
  • SaaS onboarding or implementation experience
  • Startup or early-stage company experience
